Hello. We are QOT. This is how we protect your data and respect your privacy.
Our role in your privacy
If you are a QOT customer or subscriber, or simply visiting our website, this policy applies to you.
Our Responsibilities
If you are a registered QOT customer or a visitor to our website, we act as the “data controller” of personal information. This means that we determine how and why your data is processed.
Your responsibilities

- If you are our customer, please also check the contracts - including the Data Processing Agreement available upon request via verhuur@qotstudent.be - between us: these may include further details about how we collect and process your data.
- If you provide us with personal information about other people, or if others give us your information, we will only use that information for the specific reason for which it was provided to us. By submitting the information, you confirm that you have the right to allow us to process it on your behalf in accordance with this Privacy Policy.
When and how do we collect data
If you are only a visitor to our website, please note that we do not collect any personal information before you request a QOT demo. We use Plausible's privacy-friendly analysis to measure site visits completely anonymously.
From the moment you request a QOT demo, we start collecting data. Sometimes you provide us with information, sometimes data is automatically collected about you.
Here's when and how we do this:

Types of information that we collect
- Contact details: your name, email address, role in your company, etc.
- Financial Information: your bank account number, sort code, credit card information, etc.
- Metadata of your code repositories: the name of your code repositories/projects, APIs & databases, URLs to GitHub/GitLab files, last commit date, etc.
- Metadata of your teams: your data sources & destinations, types of data, business processes, hosting location, security measures, etc.
- Data that identifies you: your IP address, login information, browser type and version, time zone setting, browser plug-in types, geolocation information about where you might be, operating system and version, etc.
- Details about how to use QOT: your URL clickstreams (the path you take through our site), pages viewed, page response times, download errors, how long you stay on our pages, what you do on those pages, how often, and other actions.
How and why we use your information
Data protection laws mean that we can only use your information for certain reasons and for which we have a legal basis. Here are the reasons why we process your data:
- Keep QOT running: Login and authentication, process payments.
- Legal basis: Legitimate interests
- Improving QOT: Product analysis, heat mapping of our site, testing features and session repetition.

- Customer support: Notifying you about changes to our service, resolving issues via live chat support, phone or email including bug fixes.

- Marketing purposes (with your consent): Send you emails and messages about new features, products and services, and content.
Your privacy choices and rights

- You can choose not to provide us with personal information. If you choose to do this, you can continue to use the website and view the pages, but we cannot process transactions without personal information.
- You can block cookies by activating a setting in your browser that allows you to refuse cookies. You can also delete cookies via your browser settings. If you disable cookies, you can continue to use QOT, but certain services (such as Intercom) will not work effectively.
- We will inform you (before collecting your information) if we plan to use your information for marketing and if third parties are involved. You can opt out of marketing by emailing us at verhuur@qotstudent.be.
Your rightsYou can exercise your rights by emailing us at verhuur@qotstudent.be. This includes the right to ask us for additional information about:
- The categories of data that we process
- The purposes of data processing
- The categories of third parties to whom the data may be disclosed
- How long the data is kept (or the criteria used to determine that period)
- Your other rights with respect to our use of your information
We will provide you with the information within one month of your request, unless it would affect the rights and freedoms of others (for example, another person's confidentiality or intellectual property rights). We will inform you if we are unable to comply with your request for that reason.
- Right of access: You have the right to request access to the information we hold about you.
- Right to correction: You have the right to have us correct if there is inaccurate personal information about you.
- Right to data portability: We will provide you with a copy of your data in CSV or JSON format so that you can provide it to another service. If you ask us to do so and it is technically possible, we will transfer the data directly to the other service for you. We will not do this to the extent that it reveals information about another person.
- Right to be forgotten: You can ask us to erase any personal information that we hold about you if it is no longer necessary for us to keep it for the purposes of your use of QOT.
- Right to file a complaint: If you have a complaint about our use of your data, tell us first so we can address your concerns. If we fail to do so, you can file a complaint with the Data Protection Authority.
How secure is the data we collect?
We have physical, electronic, and administrative procedures to protect and secure the information we collect.
And remember:
- You provide personal information at your own risk: unfortunately, no data transfer is 100% secure.
- You are responsible for your username and password: keep them secret and safe!

Where do we store the data?
The personal information we collect is primarily stored on our Amazon Web Services servers in Ireland. Since we are a remote company, we process data in the countries where we live (including Belgium, the Netherlands, Germany, France, and the United Kingdom) and in any data processing facility operated by the third parties identified below.
By submitting your personal information, you agree to this transfer, storage or processing by us. If we transfer or store your information outside the EEA in this way, we will take steps to ensure that your privacy rights remain protected as set out in this Privacy Policy.
How long do we keep your data?
We will archive all personally identifiable information about you and stop actively using it within 3 months of the last time you used QOT. We will remove your personal information from our archives no later than 6 years after the last time you used QOT or as agreed with you in a separate contract.
Third parties who process your data
Technology companies often use third parties to help them host their applications, communicate with customers, send their emails, etc. We work with third parties that we think are the best in their field.
When we do this, it is sometimes necessary to share your information with them for these services to work properly. Your information will only be shared when strictly necessary and in accordance with the safeguards and best practices set out in this Privacy Policy. Where personal information is transferred to a third party in the United States, we take steps to agree to the standard contractual clauses with them. We continuously monitor this transmission mechanism. Data transfers to the U.S. are encrypted and generally consist of non-sensitive personal information.

We don't use cookies for visitors. We use Plausible to measure our website completely anonymously.
