If you are a QOT customer or subscriber, or simply visit our website, this policy applies to you.

Our Responsibilities

If you are a registered QOT customer or a visitor to our website, we act as the “data controller” of personal information. This means that we determine how and why your data is processed.

By submitting the information, you confirm that you have the right to allow us to process it on your behalf in accordance with this Privacy Policy.

When and how we collect data

If you are only a visitor to our website, please note that we do not collect any personal information before you request a QOT demo. We use the privacy-friendly analysis tool Plausible to perform site statistics completely anonymously.

From the moment you request a QOT demo, we start collecting data. Sometimes you provide us with information, sometimes information about you is collected automatically.

Types of information that we collect

  • Contact details: Your name, email address, role in your company, phone number, etc.
  • Financial information: Your bank account number, sorting code, credit/debit card information, etc.
  • Metadata of your code repositories: The name of your code repositories/projects, APIs and databases, URLs to GitHub/GitLab files, last commit date, etc.
  • Metadata for your teams: Your data sources and destinations, data types, business processes, hosting location, security measures, etc.
  • Information that identifies you: Your IP address, login information, browser type and version, time zone setting, browser plug-in types, geolocation information about where you may be, operating system and version, etc.
  • Details about how you use QOT: Your URL click paths (the path you follow through our site), pages viewed, page response times, download errors, how long you stay on our pages, what you do on those pages, how often, and other actions.

How and why we use your information

Data protection laws mean that we may only use your information for certain reasons and when we have a legal basis to do so. Here are the reasons for which we process your data:

    • Goal: Logging in and authenticating, processing payments.

  • Improving QOT:
    • Goal: Product analysis, heat mapping of our site, feature testing, and session repetition.

    • Goal: Inform you about changes to our service, resolve issues via live chat support, phone or email including bug fixes.

  • You can choose not to provide us with personal information: You can continue to use the website and view the pages, but we cannot process transactions without personal information.
  • You can block cookies by activating a setting in your browser that allows you to refuse cookies. You can also delete cookies via your browser settings: If you disable cookies, you can continue to use QOT, but certain services (such as Intercom) will not work effectively.
  • We will inform you (before collecting your information) if we intend to use your information for marketing and if third parties are involved: You can opt out of marketing by emailing us at verhuur@qotstudent.be.

Your rights

This includes the right to ask us for additional information about:

  • The categories of third parties to whom the data may be disclosed
  • How long the data is stored (or the criteria used to determine that period)

We will provide you with the information within one month of your request, unless this would affect the rights and freedoms of others (for example, another person's confidentiality or intellectual property rights). We will inform you if we are unable to fulfil your request for that reason.

Otherwise, we will only do this to provide the QoT service to you.

  • We will provide you with a copy of your data in CSV or JSON format so that you can provide it to another service: If you ask us and it is technically possible, we will transfer the data directly to the other service for you. We will not do this to the extent that we need to disclose information about another person.

  • You can do this by asking us to erase any personal information that we hold about you if it is no longer necessary for us to keep it for your use of QOT:

How secure is the information we collect?

We have physical, electronic, and control measures to protect and secure the information we collect.

  • You provide personal information at your own risk: unfortunately, no data transfer is 100% secure
  • You are responsible for your username and password: keep them secret and safe!

Where do we store the data?

The personal information that we collect is primarily stored on our Amazon Web Services servers in Ireland. Since we are a remote company, we process data in the countries where we live (including Belgium, France, Netherlands, Poland, Portugal, South Africa, United Kingdom, United States) and in any data processing facility operated by the third parties identified below.

By submitting your personal information, you consent to this transfer, storage, or processing by us. If we transfer or store your information outside the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected as set out in this Privacy Policy.

How long do we keep your data?

We will stop actively using personally identifiable information about you within 3 months from the last time you used QOT. We will remove your personal information from our archives no later than 6 years from the last time you used QOT or as agreed with you in a separate contract.
